Custom micro gear motor sample prepared for RFQ drawing and validation review

RFQ Intake

Send a Structured Inquiry

Select the closest application scenario, add motion and validation priorities, or email directly when drawings, attachments, or CC recipients are required.

  • Noise / vibration
  • EMI / current spike
  • Backlash / self-locking
  • Duty cycle / heat rise
  • Life test / traceability
  • Compliance file scope

RFQ Checklist Before You Send

Required ItemExampleWhy It Helps
Target motor familyN20 / 16mm planetary / encoder optionQuickly narrows viable models and quote range.
Application scenarioMedical module / gripper / lock actuatorRoutes the RFQ to the right risk checklist.
Torque at speed80 g.cm at 120 RPMPrevents over-reliance on holding torque only.
Mechanical interfaceShaft, flange, connector drawing revisionAvoids sample mismatch and assembly rework.
Quantity planPrototype qty + annual forecastImproves lead-time and pricing accuracy.
Destination and termsCountry, Incoterm, requested ship dateAligns packaging, documents, and shipping plan early.

What Happens After Inquiry

  1. Engineering pre-check for model fit and data completeness.
  2. Quote direction with lead-time assumptions and risk notes.
  3. Sample scope alignment and validation acceptance criteria.
  4. Production and delivery planning for approved programs.

How We Route Different Inquiry Types

The fastest RFQ path depends on the maturity of your requirement. A drawing-complete project can move directly into model and quote review, while an early concept may need architecture screening first. Stating the stage in the first email helps us return the right kind of answer instead of a generic price response.

Inquiry StageBest First InputResponse FocusUseful Next Action
Concept screeningApplication, envelope limit, target load, and available voltage.Identify whether DC, BLDC, planetary, worm, encoder, or low-noise architecture is worth evaluating.Compare product families before requesting exact drawings.
Drawing reviewShaft/flange drawing, connector preference, cable route, and assembly constraints.Flag manufacturability, tolerance, shaft support, and interface mismatch risks.Freeze the sample drawing revision before PO release.
Sample validationTest fixture, pass/fail window, load point, duty cycle, noise distance, and life target.Align sample acceptance evidence and whether custom tests are included.Create a shared sample sign-off checklist.
Volume sourcingAnnual forecast, delivery cadence, destination, packaging requirements, and inspection records needed.Separate unit price, tooling, lead time, packaging, and quality documentation assumptions.Build a quote comparison that includes supply risk, not only motor price.

Common Clarification Questions

Can I send a rough requirement before final drawings are ready?

Yes. Send your current assumptions first, then mark pending items clearly so we can return a provisional quote scope.

How should we handle engineering changes after sample approval?

Use a revision-controlled change request with effective lot and impact scope agreed by both teams.

Can we align on compliance files before mass production?

Yes. Please list required document types in the RFQ stage so they are included in validation and delivery planning.

Suggested First RFQ Email Format

If your team needs a fast start, use this structure in the first email. It improves quote precision and reduces clarification cycles.

  1. Project background and application scenario.
  2. Motor target: frame size candidate, torque at speed, electrical window.
  3. Mechanical interface: shaft, flange, connector, drawing revision.
  4. Commercial scope: prototype quantity, annual forecast, destination, and target ship date.

Attachment Naming and Data Hygiene

When drawings, photos, test data, and quote assumptions arrive in one thread, small naming details can prevent wrong-revision samples. Before sending files, label each attachment with the project name, drawing revision, date, and whether it is reference-only or ready for supplier review.

  • Mark drawings as "for quote", "for sample build", or "reference only" so engineering does not freeze the wrong file.
  • Keep motor test data tied to fixture, voltage, load, duty cycle, ambient temperature, and measurement distance when noise is involved.
  • If several stakeholders are copied, identify one technical owner and one commercial owner for clarification decisions.

What You Should Review Before Sending RFQ

Typical First Response Package

OutputPurposeBuyer Action
Model and architecture directionNarrow viable options against torque-speed and interface assumptions.Confirm baseline model path before cost-detail discussion.
RFQ clarification listClose data gaps that affect pricing and lead-time accuracy.Return missing values and drawing references in one reply.
Validation recommendationDefine sample test scope and acceptance evidence for technical sign-off.Align internal engineering and procurement gates before PO.
